Policies and privacy

Booking and eligibility
New clients request a consultation before a first session is confirmed. Existing clients may request appointments directly. Appointments are accepted at Aaron Elam’s discretion based on availability, location and whether the requested service falls within his training and scope.
In-person sessions are held at mutually agreed neutral locations in the Cincinnati Tri-State area. Locations are subject to weather, availability, accessibility and venue rules. Clients must provide at least one day of advance notice when requesting an appointment.
Health, safety and scope
Yoga includes physical movement, balance, stretching, breath practices and meditation. Participation involves inherent risks, including falls, aggravation of existing conditions and other injury. Clients choose whether to participate in each activity and may stop at any time.
Yoga instruction is educational and recreational. It is not medical advice, diagnosis, treatment, physical therapy, psychotherapy or a promise of any particular outcome. Clients are responsible for obtaining advice or clearance from an appropriate licensed healthcare professional when needed and for disclosing relevant conditions before participating.
Hands-on guidance or adjustments will be offered only with consent, and consent may be declined or withdrawn at any time. Thai yoga bodywork is not currently offered as a separate massage or bodywork service.
Minors and pregnancy
A parent or legal guardian must arrange and consent to participation by a minor. Parent or guardian attendance may be required depending on the child’s age, the setting and the proposed session. Additional safeguards and forms may apply.
Pregnant clients must disclose pregnancy before participating and should discuss yoga with their licensed healthcare professional. Aaron does not hold a prenatal specialty credential and may decline or refer a client to a prenatal specialist when that is the more appropriate option.
Cancellations, missed appointments and payment
Clients are asked to provide at least 24 hours’ notice when cancelling or rescheduling. There is currently no late-cancellation or no-show charge. Repeated late cancellations or missed appointments may result in advance payment being required, limitations on future booking or the end of the client relationship.
Standard sessions are paid at the session unless another written arrangement is made. Payments for completed services are non-refundable. Any package, event or retreat will have written payment and refund terms provided before purchase, subject to applicable law.
Website privacy
Information collected
The website may collect contact information, general scheduling preferences, session interests and retreat-interest responses that a visitor submits. The consultation form asks visitors not to provide detailed medical information. Health and injury information, when needed, is collected through a separate intake process after a booking request is reviewed.
How information is used
Information is used to respond to inquiries, assess whether a requested session is appropriate, arrange services, maintain business records, manage the retreat-interest list and send communications the individual requested. The ACE Practice does not sell personal information.
Website-hosting, database and email-delivery providers may process submitted information only as needed to operate the website, store requests, reduce spam and deliver inquiries to Aaron. Visitors should not submit detailed medical information through the website form.
Communications and choices
Providing a phone number permits Aaron to respond to a booking inquiry by text. Joining the retreat list permits retreat-related updates. General newsletters are sent only when the separate optional box is selected. A person may withdraw from optional updates at any time by replying STOP or emailing the address below.
Children’s information
The website forms are intended for adults. A child should not submit personal information directly. A parent or legal guardian should contact Aaron on the child’s behalf.
Retention, security and requests
Inquiry information is retained only as reasonably needed for the purposes described above, business records and legal obligations. Reasonable measures are used to protect submitted information, but no internet system can be guaranteed completely secure. To request access, correction or deletion, contact Aaron using the information below. Some records may be retained when required for legal, insurance or legitimate business purposes.
Photography and testimonials
Booking or attending a session does not by itself authorize promotional use of a client’s image, voice or testimonial. Any promotional photography, recording or testimonial use requires separate, voluntary consent that may be declined without affecting access to ordinary services.
Retreats
Joining the interest list is not a reservation and creates no obligation to purchase. Destination-specific retreat terms—including eligibility, lodging, travel, payment schedule, cancellation, force majeure, conduct and insurance requirements—will be provided before registration opens.
